BOOKING POLICY

 
BOOKING PROCESS
  • Guests can reserve a table at our café via the website (outsidetheboxltd.co.uk), by calling 0161 399 8757 or by visiting the cafe in person and booking directly with one of our team members. Bookings can also be requested by email, but guests should note that emails are only checked once per day and so this is not a suitable method for last minute bookings. 

  • A gaming fee is charged per hour per person of £2.50. This is payable on arrival at the cafe. 

  • On our online booking platform, we have included options where you can just book for your gaming time, and additionally to pre-order hot pies. If you are unsure whether you would like a hot pie as part of your online booking, please select the relevant gaming fee only option. 

  • For events, tickets will need to be purchased at the specified price. This will advertised on the website and our social media channels: Facebook & Instagram.

  • For any other questions regarding the booking process, please email us: games@outsidetheboxltd.co.uk.

 

CANCELLATION AND NO-SHOW POLICY
  • As we are a small venue, last minute cancellations hurt us badly.

  • Please cancel at least 24 hours before your booking date & time so that your slot is freed up in our booking system. This can be done via the button on your email confirmation if you have booked online.

  • If you need to cancel with less than 24 hours to go before your booking, please give us a call. 

  • We reserve the right to collect data on 'no-shows.' Where we have evidence of 3 'no-shows' from a certain email address, we will suspend this email address from making online bookings. 

RESCHEDULING BOOKINGS

Bookings can be rescheduled by cancelling and then making a new booking.

 
LATE ARRIVALS
  • If you know you and your party are running late, please get in touch with the team in the cafe on our phone number: 0161 399 8757.

  • Tables may be reassigned if guests are over 10 minutes late without prior notice.

 
EARLY DEPARTURE

Guests leaving before their booked duration ends can request a refund for each full hour's gaming fee that has been paid.

EVENTS POLICY

EVENTS PROCESS
  • Outside The Box will be hosting regular events at the cafe, which will be advertised on the website and our social media channels: Facebook & Instagram. We will include relevant information such as what the event includes, dates, times, event location, prices and other key information.

  • Tickets must be booked & purchased prior to events taking place, which can be done via our Events page on the website, excluding our Cue the Classics event, which is free and is operated on a first come first served basis.

  • Event prices will vary, depending on the event, and will be clearly marked on the event itself on the website. 

  • A small service fee will also be charged on event tickets, which will be clearly marked during the booking and payment process. 

  • Once you have paid for your event ticket(s), you will receive an email confirmation of your booking & payment, along with your tickets. In case you cannot see this email confirmation in your inbox, please check your spam in case it has landed in there. You can also phone or email us if you have not received it, and we will check on our event ticketing system.

  • Before you come to the cafe for one of our events, please ensure you have a copy of your tickets - this can on your phone or printed. We will scan the QR code on you ticket(s) to ensure your entry to the event is secured.

  • We ask those attending our events to ensure they arrive ahead of the event start time: at least 5-10 minutes beforehand. This is to ensure we can start on time and you can get settled.

CANCELLATION POLICY
  • As we are a small venue, we cannot offer refunds for event tickets if less than 24 hours notice is given. If you are unable to make the event, please let us know by phone so we can reallocate your ticket(s) to someone else.

  • As other people will be attending our events, we may start the event without you if you are running late. 

CONDUCT & USE OF FACILITIES

 
NO OUTSIDE FOOD OR DRINK IN THE CAFE

Bringing external food or drinks into the café is strictly prohibited except for baby food.

ALLERGIES

Outside The Box takes food allergies very seriously. We maintain a file of allergens for all the food and drink products that we supply. However, we cannot guarantee that there will be no cross-contamination. Please consult our staff for allergen-related concerns.

HYGIENE & CLEANLINESS

We want to ensure that our board games and facilities are kept as clean as possible for the benefit of all guests. Handwashing facilities are provided and guests are respectfully asked to use these after every visit to the bathroom.

Pull-out shelves on gaming tables are provided to minimise food and drink spillages on game boards. We ask that these are used where possible. 

We reserve the right to ask guests to take corrective measures in order to comply with hygiene and cleanliness standards. 

PETS

Well-behaved dogs are allowed in the venue, but owners must be aware that small games pieces may drop on the floor from time to time. Outside The Box accepts no liability for game pieces swallowed by dogs. If any game pieces are chewed or otherwise damaged by pet dogs, we reserve the right to ask the owner to cover the cost of a replacement game. Also, if other guests are nervous of or allergic to dogs, we would ask that owners take steps to consider the feelings of fellow guests.  

GAME CARE & CONDUCT

Guests are asked to treat our games with care. We reserve the right to charge a fair fee for damage to games.

Guests are also asked to be mindful of other customers in the cafe and to refrain from behaviour that is loud or aggressive. Since this is a family-friendly venue, we ask that guests refrain from using bad language. 

GAME LIBRARY ACCESS

Gaming fees grant access to our games library. When finished with a game, guests are required to put it away with care. A Returns Shelf is provided so that staff can check the contents of each game before putting it back in the library. 

GAME LIBRARY ACCURACY

Our online Games Library page is intended as a reference tool and may not always reflect our current selection in the cafe. Guests interested in specific games are advised to contact us directly for availability, as our library is subject to frequent rotation.

ACCESSIBILITY

The cafe is on the ground floor. We endeavour to accommodate special requirements where possible. Please contact us in advance with your requirements.
